Volunteer Committee Guidelines and Expectations Program


Hamilton Craft Studios values the contributions and dedication of its volunteers. To ensure a positive and productive experience for all volunteers, the following guidelines and expectations have been established for our volunteer committees. These guidelines aim to provide clarity, foster collaboration, and promote a sense of shared purpose.

 

Commitment and Attendance:

  • Volunteers are expected to attend committee meetings regularly and be punctual.
  • If unable to attend a meeting, volunteers should notify the committee chair or designated contact person in advance.
  • Active participation, engagement, and constructive contributions are encouraged during meetings.
Roles and Responsibilities:
  • Volunteers are expected to fulfil their designated roles and responsibilities within their respective committees.
  • This may include tasks such as planning and organising events, conducting research, developing strategies, or assisting with specific projects as assigned.
  • Volunteers should communicate openly, seek guidance when needed, and collaborate effectively with other committee members.

  1. Confidentiality and Professionalism:
  • Volunteers may have access to sensitive information or discussions during committee meetings.
  • It is essential to maintain confidentiality and not disclose any confidential or proprietary information without appropriate authorization.
  • Volunteers are expected to exhibit professionalism, respect, and courtesy when interacting with committee members, staff, and stakeholders.

Communication and Reporting:
  • Clear and timely communication is crucial for effective committee work.
  • Volunteers should actively participate in communication channels, such as email, shared documents, or project management tools.
  • Regular progress updates, status reports, or deliverable submissions may be required as determined by the committee chair or project lead.

Collaboration and Teamwork:
  • Volunteers should foster a collaborative and inclusive environment within their committees.
  • Respect diverse perspectives, encourage open dialogue, and contribute to a positive team dynamic.
  • Support fellow volunteers, share ideas, and work collectively towards achieving committee goals.

Training and Development:
  • Hamilton Craft Studios may provide training opportunities, resources, or workshops relevant to committee work.
  • Volunteers are encouraged to take advantage of these opportunities to enhance their skills, knowledge, and understanding of the organisation's mission and operations.

Respect for Policies and Procedures:
  • Volunteers must adhere to the policies, procedures, and guidelines set forth by Hamilton Craft Studios.
  • This includes following safety protocols, ethical guidelines, and any specific requirements related to committee activities.

Recognition and Appreciation:
  • Hamilton Craft Studios values and appreciates the contributions of its volunteers.
  • Efforts will be made to recognize and acknowledge volunteer contributions through various means, such as certificates, appreciation events, or public acknowledgments.

By adhering to these Volunteer Committee Guidelines and Expectations, Hamilton Craft Studios volunteers can work together effectively, promote the organisation's mission, and contribute to the success of the studio.


Volunteers joining committees are welcome to join multiple committees as long as individual commitments to each are fulfilled.


Committees 


Community Outreach Committee: This committee would be responsible for engaging with the local community and encouraging partnerships with other organisations and community groups. They would help to organise and would attend outreach events, collaborate on community projects, and promote the studio's mission and programs to a wider audience. This committee would be responsible for working with the Clubs and Programming committee to support club initiatives and work with club representatives to develop studio events and club programming. Clubs and Programming Committee: Develop and coordinate diverse programs, workshops, and events. Manage clubs, engage with the community, and evaluate program impact. Collaborate, plan, and ensure a vibrant and inclusive experience for members and club attendees. Click here for detailed information.

Fundraising Committee: This committee would be dedicated to assisting in securing funding for the studio through various means, such as researching grant opportunities, sponsorship opportunities, and initiating and coordinating fundraising events. They would work closely with the executive director and staff to identify funding needs and develop strategies to meet fundraising goals. Click here for detailed information.

Membership and Volunteer Engagement Committee: This committee would focus on attracting new members, retaining existing members, and ensuring a positive experience for all. They would help to develop initiatives to engage members in studio activities, assist with organising member events, and oversee volunteer recruitment and recognition efforts. Studio Maintenance and Safety Committee: This committee would be responsible for maintaining the cleanliness, functionality, and safety of the studio spaces and equipment. They would develop protocols and guidelines for studio use, conduct regular inspections, and coordinate repairs and maintenance tasks.
