Studio & Community Support Coordinator
Reports To: Executive Director
Hours: 2 Part-Time Positions Available (24 hours/week, rotating schedule)
Location: 121 Princess St, Hamilton Craft Studios (HCS), Hamilton, ON
Position Overview
Hamilton Craft Studios is hiring two part-time Studio & Community Support Coordinators to share front-desk, customer service, and administrative duties across a 7-day studio schedule. Together, this team ensures smooth day-to-day operations, supports members and instructors, and upholds the welcoming, creative environment that defines HCS.
This is an entry-level to intermediate role ideal for someone with strong administrative experience who enjoys helping people and thrives in a creative, hands-on, public-facing environment. While many tasks follow a routine, no two days are quite the same.
Schedule & Coverage
- 48 hours (24 hours per Administrator)
- 6 hours per day, 7 days per week
- Each staff member works alternating Saturdays and Sundays
- Between 10:00 AM – 6:30 PM (with some flexibility based on scheduled studio activities)

You’ll work alongside one other part-time Coordinator and report directly to the Executive Director. You’ll also support a rotating team of instructors and interact daily with studio members, course participants, and visitors.
Key Responsibilities
Customer Service & Front Desk
- Greet members, students, and visitors; provide welcoming, helpful support
- Answer email and occasional phone inquiries about classes, memberships, and bookings
- Process payments, registrations, and memberships using Shopify
- Troubleshoot registration issues, escalate as needed
Membership & Registration Management
- Track active/expired memberships and follow up on renewals
- Ensure all registration and waiver documentation is complete and accurate
- Maintain and update internal spreadsheets and shared calendars
Instructor & Studio Support
- Prepare studios for classes (e.g., setup tools, materials, and signage)
- Restock shared materials and notify supervisor when inventory is low
- Communicate clearly with instructors about schedule updates and participant changes
Daily Upkeep & Light Cleaning
- Sweep, vacuum, empty bins, and reset shared spaces each day
- Tidy and clean washrooms, kitchen, and front desk area
- Reset workshop spaces between classes or member use
Administrative Tasks
- Maintain rosters, waitlists, and tracking documents
- Flag missed classes or requests for makeup sessions
- Record customer issues and relay to management for resolution
- Assist with light documentation (e.g., photos, notes, social media support)
Ideal Candidate

You might be a great fit if you have:
- 2+ years of administrative or office coordination experience
- Experience managing email inboxes, schedules, and internal spreadsheets
- Familiarity with Shopify, Google Workspace, or similar tools (or willingness to learn)
- Strong attention to detail and ability to self-manage day-to-day tasks
- A calm, professional approach to customer service and feedback
- Experience supporting events, programming, or scheduling across teams
- Comfort with light physical work (e.g., setting up tables, carrying materials, tidying)
- Ability to manage multiple ongoing support tasks through research, communication, and program development as assigned by the Executive Director
Key Performance Indicators (KPIs)
Metric / Expectation
Client Response Time / All emails and inquiries responded to within 24 hours on scheduled workdays
Membership Accuracy / 100% up-to-date member records and expiry tracking
Studio Readiness / All classes set up at least 30 minutes before start
Daily Cleaning Completion / End-of-day checklist completed and signed off
Instructor Coordination / No missed material handoffs or communication gaps
Training & Onboarding (4 Weeks)
- Weeks 1 and 2: System orientation (Shopify, Google Suite), shadowing senior staff, intro to HCS studio protocols
- Week 3: Supported task execution, begin shift coverage, membership updates, studio prep
- Week 4: Fully independent shift management with ED check-in and support
Compensation, Performance Review and Raise Schedule
Starting Wage: $22.00/hour
Hours: 24 hours/week (part-time, permanent)
Overtime Pay: Not expected, but any hours over 44/week will be paid at 1.5× per Ontario ESA regulations.
TThis is a part-time, permanent, non-exempt position governed by Ontario’s Employment Standards Act (ESA).
Starting wage is $22.00/hour during training and probation (approx. 3 months).
Wages increase following bi-annual performance reviews, with the first review at 6 months. Pay may grow based on scope of responsibility, initiative, and reliability. HCS is committed to fair pay and internal advancement.
The initial probationary period is three months from the start date, during which either party may terminate employment without notice or pay in lieu, per ESA.
